Results Analysis: Exporting Responses
EXPORT ALL SURVEY RESPONSES TO AN EXCEL FILE
About Exporting Responses
You can export all survey responses to an Excel file, allowing you to view the data entered in open-ended
questions (with free-response fields such as Text boxes, Free text, Numeric box, and Contact details questions).
In the exported responses file, within Sheets 1 and 2:
- Row 1
- Rows 2 and onward
- Columns 1 to 12
- Columns 13 and onward
The header row
1 row = 1 respondent
1 column = 1 technical detail (respondent ID, device used, questionnaire participation date, total time spent on the questionnaire, respondent status, etc.)
1 column = 1 question (although, for certain question types like Tables and Scales, responses are presented across multiple columns)

The response export contains a total of 5 sheets:
- Sheet 1
- Sheet 2
- Sheet 3
- Sheet 4
- Sheet 5
Coded responses
Labeled responses
Response times per question: in this sheet, you will find the time – in seconds – that each respondent spent on each question in the survey.
Custom variables: in this sheet, you will find the text/content that each respondent viewed whenever a custom variable was inserted into the questionnaire. This sheet will only appear in the file if custom variables were included in the questionnaire.
Frequency tables: these are basic result tables that show the breakdown of responses question by question (e.g., if the value "50" is displayed in the first cell of Table for Q1, it means that 50 respondents selected the first response option for Q1).
1 – Go to the "Results" page and export responses
On the "Results" page (in the "Overview" tab), you can both view all results (frequency tables and graphs) and download the export of all individual responses (to an Excel file).
Click on the "Export all responses" button to download the Excel file to your computer.
Your web browser may automatically block the download of Excel files by default.
You will need to click on the small "Blocked pop-up window" icon in your browser's toolbar to allow pop-ups and downloads from the e-Survey website (for example, by selecting: "Always allow pop-ups and redirects").
2 – Open and explore the Excel file
Once the Excel file is downloaded, you can open it either from your web browser (via the "Downloads" tab) or from your computer’s "Downloads" folder.
You will then have access to all individual survey responses (Sheets 1 and 2 of the file), response times per question (Sheet 3), custom variables (Sheet 4, only visible if custom variables were included in the questionnaire), and frequency tables (Sheet 5).
1- To switch between sheets, simply select the sheet you want to view from the tabs at the bottom of the page.
2-In each tab, remember to scroll using the scroll bar to the right to view all columns, and/or downward to view all rows.
